Bringing a new property into management is a process with a lot of moving pieces — and how well it’s handled in the first few weeks sets the tone for everything that follows. At First Door PM, our onboarding process is designed to be clear, organized, and low-stress for owners, whether you’re transitioning an existing property or starting fresh with a new acquisition. The process starts with information gathering. Once a management agreement is signed, we collect the core details we need to take over operations: existing leases, tenant contact information, rent schedules, security deposit amounts, utility responsibilities, vendor contacts, and any outstanding maintenance items. This upfront work prevents gaps and ensures nothing falls through the cracks during the transition. From there, we set up the financial infrastructure — trust accounts, owner reporting preferences, and reserve levels are all established before the first month under management. If the property has existing tenants, we reach out to introduce First Door as their new point of contact and walk them through how things will work going forward. Clear communication here keeps residents comfortable and minimizes disruption. If the property is vacant or approaching a vacancy, we move quickly into leasing prep — pricing review, turnover coordination, photography, and listing setup. Our goal is to avoid unnecessary downtime and get the unit in front of qualified applicants as fast as possible. By the time onboarding is complete, the property is fully integrated into our systems and operating under consistent management standards.
